Payment Process 

Client shall pay the College fees for facilities and services as follows:

• Thirty (30) days prior to the arrival of the conference group, a deposit of ten percent (10%) is expected. This rate is based on estimated attendance and will be stated in the contract. Upon arrival of the conference group, an additional fifty percent (50%) of the total projected bill is expected. This amount will be stated in the contract.
• The balance, including adjustments due to variations between estimated and actual services, shall be paid fifteen (15) days after the date of billing by the College.

Guarantee

The conference will provide the College with guaranteed numbers for lodging and food service no later than fourteen (14) days before the earliest arrival date.

• All conferences will be billed for meals based on the guaranteed number of participants provided to the College 14 days before arrival by the conference or actual numbers, whichever is higher.
• The College will charge for no less than ninety-five percent (95%) of the number guaranteed for lodging costs.
• The College does not guarantee availability of facilities, food, and lodging in excess of one hundred five percent (105%) of said guaranteed numbers.

Cancellations

If the conference cancels its previously scheduled event within thirty (30) days of its first appearance on campus, the ten percent (10%) deposit will not be refunded. If the conference cancels after seven (7) days prior to the beginning date, the conference is obligated to pay the full amount for room and board.

Failure to Pay

If the conference fails to render payment for bills accumulated during its conference within sixty (60) days of the original deadline, a 1.5% per month (18.0% annual) charge will be instituted.
