I-9 Information Guide

What is the I-9 Form Exactly?
  • Immigration Reform and Control Act (IRCA)
  • Took effect on November 6, 1986
  • Requires that employers only hire individuals who have a legal right to work in the United States
  • The I-9 Form provides a record for the government to access verifying an employer's compliance with the IRCA

Section 1. Key Points

  • This section must be completed on the student's first day of work
  • The student employee completes this section, never the supervisor
  • This section must be completed in front of a Gettysburg College employee
  • Must use home address
  • The supervisor only reviews this section for completeness and obvious errors
  • Make sure that one of the three boxes is checked in the lower right corner of Section 1

Section 2. Key Points

  • Only the supervisor completes this section
  • Section 2 is used to establish the student employee's identity and eligibility to work in the U.S.
  • The student employee has three business days to present this information to his/her supervisor. If the student employee is unable to present this information within the first three days of work, he/she must stop working.
  • Take either one document from LIST A, or one document from LIST B and one document from LIST C
  • Only the student chooses which documents to present. DO NOT suggest a driver's license and social security card. Refer to the back of the form and let the student choose.
  • Each document must be an original (NO COPIES)
  • Take down the document name, issuing authority, number and the expiration date.
  • If the student presents his/her Social Security Card, include the student's name as it appears on the document
  • Laminated Social Security Cards are not valid
  • Enter the student's first day of employment in the text portion of Section 2. DO NOT back date!
  • Then sign and print your name. And include your title, "Gettysburg College", and today's date.
  • International students should be directed to the Payroll Office on the 2nd floor of Penn Hall.
