When requesting a vehicle or arranging for a trip, you will need to provide the following information:
- Account number
- Date and time trip begins and ends
- Type of service (type of rental, rental with driver, etc.)
- Name of approved driver (Required when requestor is providing a driver)
- Names of all passengers, if any
For mass transit trip, you must provide the following additional information:
- Mass transit location
- Carrier name
- Flight number
- Arrival or departure time from location
- Campus pick-up or drop-off location
- Origination of trip (for return trips only)
- Cell phone number of passenger
Advance notice: We require 3 business days (not including weekends) notice for service. Trips requiring the use of large passenger vans or our minibus require one week notice, if not more. We cannot guarantee service if requests are made after these deadlines.
Cancellations: Trips or reservations canceled fewer than 72 hours prior to scheduled use will be charged a $20 administrative fee. Trips or reservations canceled fewer than 24 hours to scheduled use will be charged in full. We will make adjustments with departments and organizations when events are canceled due to weather, illness, or canceled meetings.
