FINANCIAL POLICIES

Fraternities and sororities are expected to provide transparency of their operational budget.

Housing Fees for Privately-Owned Facilities

Housing Corporations of privately-owned facilities are responsible for setting their own housing rates. Rates for the following year must be provided by the Housing Corporation in the spring semester when requested from the Office of Student Activities & Greek Life.

Housing fees are billed to students by the College through their student accounts and are disbursed to the housing corporations for a processing fee set by the Finance & Administration Division.

Dues and Non-Resident Fees

Housing Corporations and advisory boards of chapters with recognized residential facilities may bill members for dues and non-resident fees through the College. These rates must be set in the spring semester for the following year. 

Housing Fee, Non-Resident Fee, and Dues Refund

Housing fees for residents of privately-owned facilities that withdraw or take a leave of absence will be refunded at the same rate as housing fees for College-owned facilities unless Housing Corporations notify the College in advance that they do not want fees refunded.
Dues and non-resident fees may not be refunded without permission from the Housing Corporation or advisory board.

Financial Reporting

All fraternities and sororities must submit the cost of their dues and their budget each semester to the Office of Student Activities & Greek Life.

Special Gifts/PEM Accounts

The College will maintain Programming, Education & Maintenance (PEM) accounts for all fraternities and sororities that can receive tax deductible donations. These accounts will maintained in accordance with the Gettysburg College Fraternity/Sorority Chapter Fundraising Guidelines and Policies. Chapter leaders and advisors can request a copy of these guidelines and an updated account balance from the Office of Student Activities & Greek Life.

Funds in these accounts can be used for:

  • Educational and leadership development activities and events
  • Scholarships
  • Capital improvements to College-owned fraternity and sorority spaces in dedicated educational spaces and other spaces that are similar in nature to those provided by the College in general residential student housing.
  • Equipment for College-owned fraternity and sorority spaces that is similar to those provided by the College in general residential student housing.

All payments from these funds must be reviewed and approved by the Office of Student Activities & Greek Life to ensure they meet the criteria listed above.
