Off-campus trip notification

Use this form to notify Gettysburg College of off-campus travel plans.

Instructions: Complete the form by providing the requested information. If a field is not applicable (e.g., hotel), type “N/A” as your response. Likewise, click on your date of travel in date fields that do not involve overnight travel.

Staff and faculty traveling off-campus for college-related purposes without students are encouraged to register their travel plans. Such trip registration might be required during times of emergency.

Why is trip notification needed?

The Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, or Clery Act, signed into law in 1990, is a federal statute requiring U.S. institutions of higher education participating in federal financial aid programs to disclose information about crime occurring on institution-owned or -controlled property. This includes crime occurring in areas temporarily controlled by the institution during student use or travel (domestic or international), related to repeated use of a location and/or short stays-away, as they may be considered Non-campus properties by the Department of Education.

When is trip notification required?

Gettysburg College students, staff, and faculty who travel off-campus are required to notify the college of their travel plans:

  • in order to comply with this federal law;
  • to provide the College’s Human Resources office with the details required by travel insurance providers for coverage;
  • in the event of an emergency, pandemic, or significant travel disruption, to assist the College in its emergency preparedness efforts, by providing officials with "who-where-when" information
