Facilities Uniform Policy

Introduction

The employees of the Facilities Services Department are a valued resource of Gettysburg College and are provided with uniforms for the following reasons:

  • Employees can work without the worry of damaging their personal wardrobe.
  • Matching uniforms provide a sense of identification and professionalism.
  • Identifiable uniforms provide a sense of safety and security within college facilities.

An allotment has been established for each employee to:

  • Allow the employees to have the opportunity to reflect their individuality
  • Supply them with layers for extra comfort

Scope

Uniforms are required for all Support Staff.

Exceptions

  • Office staff and administrators should follow the college’s personal appearance and casual dress policies and should have uniform shirts available when doing non-office field work.
  • Conference and Transportation Services are recognized as a part of the Facilities Department but fall outside of this uniform policy due to the nature of their work. Please check with the supervisors of those areas for specific questions.

Allotment

Full-time employees will receive the allotment of uniforms outlined below. Part-time and casual employees will be supplied uniforms based on work schedules.

Base Uniform (college-issued shirt, and pants):

  • 5 pants
  • 5 shorts
  • 5 short sleeve tee shirts with Gettysburg College Facilities Services Logo o Academic year – to be worn only as an undershirt o Summer – can be worn as a base shirt option
  • Shirts - Any combination of five shirts with collar or smock that can be worn as over-shirts all with the Gettysburg College Facilities Services Logo. These can be:

o Short-sleeve smocks o Short-sleeve polo o Short-sleeve work shirts (button up) o Long-sleeve work shirts (button up)

  • 1 jacket
  • 1 sweatshirt OR fleece
  • 1 baseball hat (hat must be a Gettysburg College hat or Gettysburg “G” hat but may not indicate a department other than Facilities)
  • 1 stocking cap (must be Gettysburg College or a solid color with no wording)

Outerwear and layered wear:

  • T-shirts can only be worn as layered wear during the academic year.
  • Non-issued long sleeve shirts may be worn as an exposed layered option. They must be gray, white, or navy blue in color with no wording permitted. These options are the responsibility of the employee and will not be replaced by Gettysburg College if damaged.

New Hire 1st day

  • Receive 5 gray Gettysburg Facilities T-shirts.
  • Employee should wear dark blue pants (denim, cotton, canvas) until uniforms arrive

30 days after hire date

Facilities front office staff will order at 30 days the following:

5 shirts (combo of polo, button-up or smock)

1 sweatshirt OR Fleece

5 shorts/pants (seasonal, combo possible)*

90 days after hire date

Facilities front office staff will order at 90 days the following:

1 jacket

1 sweatshirt OR Fleece 

5 shorts/pants (seasonal)*

1 baseball hat (hat must be a Gettysburg College hat or Gettysburg “G” hat but may not indicate a department other than Facilities i.e. baseball, Dad, etc

1 stocking cap (must be Gettysburg College or must be solid color with no wording)

*Max short/pant total after 90 days = Maximum of 5 pairs of pants & Maximum of 5 pairs of shorts

Replacements

After the initial allotment has been distributed to the individual employee, all uniform pieces will be replaced on an individual and as needed basis as approved or directed by the employee’s supervisor. Please see your supervisor for a Uniform Order Form. See requirements for more information.

Requirements

  • Gettysburg College Facilities Services Logo tops must always be visible. This will identify you as a Facilities representative.
  • In regards to casual Friday Facilities Services employees can wear other pants that are permitted in the College’s Casual Dress policy. College is not responsible for any casual clothes that might be damaged
  • All employees are expected to have their Gettysburg College ID on their person at all times while on campus including times when called in to work outside of normal hours.
  • All staff and supervisors must be in designated uniforms during all scheduled work times. o This includes special events.
    • Employees are required to be in uniform prior to clocking-in, throughout their entire shift and when clocking-out.
    • If the employee has a need to not wear their uniform they must talk with their supervisor for approval prior to reporting to work.
  • All employees are expected to maintain their uniforms. Employees must report to work in a clean and orderly fashion. Clean and orderly is free of holes, wrinkles and excessive stains. Supervisors must assist in the assessment, recommend short term solutions and approve replacements as needed. Replaced items with logo must be returned. Items without logos can be kept by the employee. It is recommended that these uniforms be for Gettysburg College use only to help the employee maintain the items properly.
  • Shirt choices are designed to be tucked. If the shirt can’t be tucked in, please look professional. If the nature of your work does not allow the shirt to be tucked in, at all times, we require that no lower back, mid-drift, and chest areas be exposed.
  • Shirts that have buttons should be buttoned with no more than two unbuttoned (including the button at the collar) at the top even when layered.
  • Call-in uniform requirements are at the discretion of the employee being called in and the current situation. Employees will need to have their employee ID at all times while on campus.
  • In extreme weather conditions, the supervisors will work with individuals to determine appropriate outerwear for the weather and the tasks at hand.
  • Scarves are not provided and should be considered outerwear only and will not be replaced by Gettysburg College if damaged.
  • Required Housekeeping footwear – non-skid shoes are required when cleaning showers and stripping/waxing of floors. College provides a $30 voucher .College does not provide other shoes but employee should be in appropriate closed toed footwear when in uniform, including casual Fridays for the scope of the job performed on a regular basis.
  • Uniform items may not be altered with flare, bling, pins, buttons, decoration, cutting, tying knots, etc. Alterations for better fitting items should first be determined if the size is right and then should be approved by the supervisor.

Consequences for not being in uniform or not properly maintaining a uniform:

  • The employee will be directed to fix the issue on site if possible or go home without pay and return to work in full uniform. This may result in a verbal warning. The employee may choose to use vacation time.
  • Subsequent infractions will result in similar actions and written warnings.  Three written warnings within a one-year period may result in dismissal.

Some situations may arise that require exceptions to this policy. Those exceptions will be addressed on case-by- case basis and approved by a supervisor or manager.
