The College Archives contains correspondence, records, minutes of meetings, and other documents that are part of the official record of Gettysburg College. The documents record the work of Gettysburg presidents, trustees, officers, faculty and faculty governance committees, and student organizations. The collection also includes items that are not part of the official record, but are related to the College, such as books and articles by members of the College community, College histories, theses, student publications, faculty papers, photographs, artifacts, manuscripts, and ephemera.
A catalog of college records is available via ArchivesSpace. To view materials, make an appointment or contact us. Some files are restricted and are not available for retrieval or viewing.
Records Management
Gettysburg College Records Management Policy (revised May 2025)
The College Archives is responsible for the storage, preservation, description, security of, and access to records in any format that have enduring value for Gettysburg College. In the absence of a Records Manager or Administrator, the College Archives will work with College offices, departments, and employees to evaluate College Records, provide records management advice, and determine which records have enduring value and should be retained permanently. Two copies of physical College publication and documents (physical and electronic) of enduring value should be transferred to the College Archives on a regular basis and in accordance with schedules to be agreed to by the office concerned and the College Archivist.
College offices, departments, and boards are expected to create, maintain, and adhere to a retention schedule that satisfies legal, financial, and administrative requirements of the College and the laws of local, state, and national laws. Each department or office will make determinations as to where active records are stored and disposal procedures for records not intended for permanent retention in the College Archives. The College Archives should be consulted when creating or revising retention schedules.
Preparing Records for Transfer
Physical Records
- Remove all paperclips, ring binders, rubber bands, etc.
- Replace hanging file folders with acid-free file folders
- Label and date all files (approximate dates are fine)
- Pack records in the order in which they were kept by your office
- Identify each box with office/department name and box sequence (1 of 3, 2 of 3, etc.)
- Prepare a list of the folder titles for each box
- Place the records list for all boxes in the front of box 1
- Complete the records transfer form and contact Amy Lucadamo, College Archivist
Digital Records
Due to file formats, organization of files, and the need to preserve file metadata, transferring digital records may require additional consulting. We are glad to provide support for the organization and transfer of digital files to the College Archives. Contact us for assistance.
Records Disposal
For records that do not have enduring value and have reached the end of their active use per your office's retention schedule, complete the records disposal request form and email to Amy Lucadamo, College Archivist.
