Field Trip Reservation Information

With the increasing amounts of field trips each semester, below are helpful hints for making your reservation(s)

Please complete the Transportation Day Travel Notice Form, to notify Gettysburg College Transportation  of all off-campus day trips when using College-provided transportation. The form must be submitted at least 48 business hours before the trip's departure date and time. This form is required for all College-sponsored day trips using Gettysburg College Transportation. It ensures that Transportation Services and the College have a complete and accurate passenger manifest for trips departing from or returning to Gettysburg College.

  • Field trips utilize a driver(s) provided by Transportation Services.
  • Field trips are reserved under College Business Field Trip using a departments General Ledger number (GL#).
  • Please refer to the vehicle capacity information before scheduling.
  • When scheduling a field trip, all passengers must be accounted for, in the reservation, so the correct size vehicle can be determined.
  • Reservations require at least 7 business days, preferably sooner, if your travel has been confirmed early in the semester.
  • In the event that a fieldtrip cannot be filled by Transportation Services, and all options have been exhausted, a 3rd party estimate will be provided for review by the department and approval will be needed to obtain the 3rd parties services.

Pick Up Times and Locations at Mass Transit Centers

To ensure transportation availability, please remember your reservation needs to be reserved 72 business hours ( 5 days will be required as of June 1 ) in advance or we are unable to schedule your trip.

You need to complete registration:

Definition of Shuttle: shuttle times refer to specific times we depart campus or pick up at a Mass Transit Center, with a reservation, for a reduced price

Definition of Charter: a charter time is any other time, than a shuttle time, it’s not a private car service, a more expensive option with a reservation

The transportation office is open from 8am to 5pm Monday through Friday. If your flight is late, or you are unable to find your driver, and it is after business hours, please call the Department of Public Safety at (717) 337-6912.

Harrisburg Shuttle Times

We have adjusted the Harrisburg shuttle times to better serve our customers.

Shuttles only operate with a reservation and at specific times for a reduced cost.

Our shuttles and charters depart campus from the following locations:

  • ON Campus

    • South Side entrance of Christ Chapel on Stevens Street
    • Constitution parking lot by the South Side of Science Center greenhouse

    Just OFF Campus

    • The Hotel Gettysburg, 1 Lincoln Square (Rear entrance on Race Horse Alley door)

    Please be at the pick-up location no less than 15 minutes before your shuttle departure time

    Reminder: Reservations MUST be made 5 business days in advanced to ensure availability.

Charters

*No Charter Service Available at ANY location after June 1, 2026*

Charters only operate with a reservation and are times other than shuttle times. Charters are not private car service and can have other passengers if the same time is reserved.

Late night or early morning travel requests are not guaranteed due to driver availability.

During high volume travel times, before and after holiday breaks, the beginning /end of the semester, charter services are not offered. Transportation Services has the right to deny a charter reservation and offer shuttle times during busy travel days that are outside of the above timeframes. Please make sure to have your trip booked at least 7 days prior to traveling to guarantee a seat. Requests after this deadline may not be able to be accommodated. Below are some of the busy travel days and charter services are not available..

Reagan International Airport - charter only - $215 per vehicle each way

  • Turn on your cell phone as soon as you arrive at the Mass Transit Center

Once you arrive at the pick-up location listed below, look for a white Gettysburg College vehicle with blue lettering. College vehicles are not allowed to park and will have to continually circle the airport until they see you, so make sure that you are visible and on the lookout for our vehicles. Once you see the vehicle wave to the driver!

  • Harrisburg International Airport : Proceed to the exit on the baggage claim level but do not enter the garage. Once outside, go to the second curb and wait there.
  • Baltimore/Washington International Airport (BWI): Exit the baggage claim area at interior door #6 near Southwest Airlines. Once outside, go to the second curb, location 24 and wait there.
  • Washington Dulles International Airport (IAD): Exit the baggage claim area through door 3 on the middle level. Once outside, go to the curb and wait there.
  • Shady Grove Metro Station: Enter the tunnel and go to the right.
    *No Shady Grove location service after June 1, 2026 
  • Train (BWI and Harrisburg) / Harrisburg Bus terminal: Wait outside of the main entrance and look for the driver.

Helpful Travel Tips

  • Shuttles should be booked when making your travel plans. Please keep our scheduled shuttle times in mind when booking your flights/ rides.
  • When you are departing campus, you will need to leave at least 3 hours before a scheduled flight time.
  • When you are departing a Mass Transit Center, you will need to land at least 30 minutes prior to the shuttle time.
  • Shuttles operate on a request only basis, therefore reservations are required. Please make sure to make your reservation before the deadline to assure availability.
  • We require a 24 hour notice for a full refund if you need to cancel your booked shuttle or charter. 
    No Charter Services Available after June 1, 2026
  • Transportation Services are available to an enrolled Gettysburg College student, their immediate family, which includes parents, legal guardian(s) and siblings. Any family member under 18 years old must be accompanied by a parent or legal guardian. If non-immediate family is found traveling, it could affect further travel with Gettysburg College Transportation Services.

ADA Service Animal Information

In accordance with the Gettysburg College Driver Policy: No animals are permitted in College Vehicles except service animals, typically a dog. Emotional Support or Therapy Animals are not permitted in any College Vehicle (Vehicle Operations Policy subset f).

Passenger must notify Gettysburg College Transportation by email, after their reservation is made, that a service animal will be traveling with them. Please include a copy of your certification after the reservation is made. A service animal must be under the control of its handler. Under the ADA, service animals must be harnessed, leashed, or tethered, unless the individual’s disability prevents using these devices or these devices interfere with the service animal’s safe, effective performance of tasks. In that case, the individual must maintain control of the animal through voice, signal, or other effective controls.
